Usage Policy

1. Purpose and Status

This Usage Policy applies to anyone who uses Aidana, including free users, personal users, business users, evaluators, pilot users, and any person acting through an organization account.

This document is intended to function as a separate usage and safety policy in addition to Aidana's Terms of Service and Privacy Notice.

2. How This Policy Works

You may only use Aidana in compliance with:

  • applicable law
  • Aidana's Terms of Service
  • this Usage Policy
  • any product-specific instructions, safeguards, or supplemental terms made available by Frostgate

If Frostgate reasonably believes that you have violated this Usage Policy, Frostgate may:

  • warn you
  • rate limit or temporarily restrict use
  • block specific prompts, searches, files, outputs, or features
  • suspend or terminate access
  • preserve relevant evidence where necessary for security, legal, or abuse-handling purposes

3. Universal Usage Rules

You must not use Aidana:

  • to violate applicable law, regulations, sanctions, or third-party rights
  • to upload, process, or share content you do not have the right or legal basis to use
  • to infringe privacy, confidentiality, intellectual property, or identity rights
  • to generate, distribute, or facilitate malware, phishing, credential theft, unauthorized access, or other cyber abuse
  • to bypass security controls, scrape the service, reverse engineer the service beyond what law clearly permits, or interfere with service stability
  • to engage in fraud, impersonation, deception, spam, manipulation, or predatory practices
  • to generate or distribute unlawful hateful content, threats, incitement to violence, or sexually exploitative or abusive content
  • to create or spread clearly harmful misinformation, fabricated evidence, forged records, or misleading representations of real persons or organizations
  • to support unlawful surveillance, censorship, or other abusive monitoring of individuals
  • to compromise critical infrastructure, public safety, or other high-impact systems
  • to rely on output as a substitute for required professional review in legal, medical, financial, insurance, employment, housing, safety, or regulatory matters

4. Data, Privacy, and Rights

You are responsible for assessing whether it is appropriate to submit personal data, confidential information, commercially sensitive information, or other restricted material to Aidana.

You must ensure that:

  • you have the rights, permissions, and legal basis needed for the content you submit
  • your use of Aidana does not breach confidentiality obligations, employment duties, customer commitments, or internal policies
  • you do not use Aidana to process personal data in a way that would require safeguards or agreements that are not in place

Business users remain responsible for their own controller obligations, internal approvals, and review of whether a DPA or other transfer documentation is required.

5. High-Risk Use Cases Require Extra Safeguards

Certain use cases require stronger controls because they may directly affect people, rights, money, eligibility, or safety.

Examples include:

  • legal interpretation, legal guidance, or documents with legal consequences
  • healthcare, diagnosis, patient-facing medical guidance, mental health, or therapy-related use
  • financial advice, investment decisions, lending, creditworthiness, insurance, or other financial eligibility decisions
  • employment, hiring, screening, promotion, housing eligibility, or other decisions affecting access to work or housing
  • public-sector, compliance, or regulatory decisions affecting individuals or third parties
  • external publication of professional, journalistic, or expert-appearing content presented as reliable factual analysis

For such use cases, the following minimum safeguards should apply:

  • a qualified human must review the output before it is finalized, shared, or acted on
  • AI involvement must be disclosed where outputs are presented directly to individuals or external recipients and the context makes such disclosure relevant
  • material conclusions should be checked against source material, and not only against the wording of the generated report
  • Aidana must not be used as the sole basis for decisions affecting rights, health, safety, legal position, credit, employment, or eligibility

6. Additional Guidance

6.1 Agentic and Tool-Enabled Use

If Aidana is used with agents, connectors, search tools, or other automated workflows:

  • do not grant broader permissions than necessary
  • review what the agent can read, write, retrieve, or trigger
  • treat agentic outputs as requiring supervision, especially where external sources or multiple tools are involved
  • do not use agentic functionality to perform abusive automation, mass deception, or unauthorized data collection

6.2 Web Search and External Sources

If Aidana uses web search, research mode, or other external sources:

  • do not assume external sources are accurate, current, or safe
  • verify significant claims against reliable sources before relying on them
  • do not use Aidana to launder or amplify dubious web content into authoritative-seeming reports
  • remember that prompt injection, manipulated sources, and misleading pages are part of the risk model

6.3 External-Facing or Customer-Facing AI

If Aidana or Aidana-generated output is presented directly to customers, end users, or the public:

  • users should not be misled into believing they are interacting only with a human if AI is materially involved
  • important limitations should not be hidden where omission would be misleading
  • high-impact outputs should be reviewed before external release

7. Children and Vulnerable Persons

Aidana should not be directed at children or used in ways that create elevated risk for minors or other vulnerable persons without additional safeguards, product controls, and legal review.

8. Output Reliability and Human Responsibility

Aidana may produce incomplete, inaccurate, biased, misleading, stale, or overly confident output.

Accordingly:

  • you must review outputs before relying on them
  • you must not present unverified output as established fact where verification is reasonably required
  • you remain responsible for decisions, actions, or communications made using Aidana's output

The more sensitive the context, the stronger the required human review.

9. Reporting and Enforcement

If you believe Aidana has produced harmful, unsafe, misleading, or policy-violating output, or if you believe another user is misusing the service, you should report it through:

Frostgate may investigate reports using automated and human review where appropriate.

10. Relationship to Other Documents

This Usage Policy supplements Aidana's Terms of Service and does not replace them.

11. Change Management

Frostgate may update this Usage Policy where necessary to address legal changes, new product features, newly identified abuse patterns, or safety risks.

Material changes to this Usage Policy will be communicated in a reasonable way before they are relied on for ongoing paid use, unless immediate changes are necessary for security, abuse prevention, or compliance reasons.
